Meeting room rental: a checklist for capacity, equipment and cost
What to confirm before renting a meeting room, from seating layout to screens, access and cancellation.

Capacity needs a layout
A room advertised for eight people may fit eight around a table but not eight with laptops, presentation materials and catering. Tell the venue your attendee count and the layout you need. Ask for a current room photo or plan.
Check visitor access, lifts, toilets and any accessibility needs before you commit. Share the requirements, not assumptions about what the building provides.
Test the equipment requirements
List what you need: a screen, cable or adapter, whiteboard, microphones, camera and a connection for remote attendees. Ask what is included and what must be arranged separately.
If the meeting depends on a video call or presentation, ask how to test the setup on arrival and who can help if it fails. Check whether setup time is included in the reservation.
Check time, access and privacy
Confirm the meeting start and end times in the venue timezone. Ask about arrival instructions, reception, guest check-in and whether attendees can wait before the room is available.
For confidential work, ask about sound separation and visibility into the room. An enclosed room is not a promise that conversations cannot be heard outside.
Compare the whole room charge
Confirm whether the quote is hourly, half-day or daily and whether there is a minimum booking. Ask how early setup, overruns, cleaning, catering and tax affect the final amount.
Read cancellation, rescheduling and no-show terms before payment. Check whether the venue needs a deposit and when the rest becomes due. Keep a written confirmation with the exact room name.
Confirm with the venue
Directory details can change and an entry does not prove availability. BestCoworkings is not currently accepting booking requests through the site. Use the venue website or room contact link to confirm the room and its current terms.
