Private office pricing: the full cost beyond the monthly quote

A quote worksheet for comparing office fees, deposits, meeting-room credits and exit costs without mistaking a refundable deposit for rent.

We compared official provider product information with published contract terms. This is a method for comparing quotes, not a market-price survey or legal advice. Your branch's signed agreement and current quote control.

Compare the commitment, not the headline

Before comparing two offices, make both providers quote the same number of people, start date and contract length. Ask whether the price covers the whole room or each person. A monthly billing schedule does not, by itself, tell you when you can leave.

WeWork's private-office page says notice and cancellation terms sit in the membership agreement. The Regus US/global terms give different notice periods for different agreement lengths and describe automatic renewal. These are provider-specific examples, not a universal coworking rule. Get the applicable notice deadline in writing before signing.

Keep three totals separate

First, calculate the recurring monthly budget: the office fee plus required recurring services and applicable tax, then add a realistic estimate for optional usage. Second, calculate cash needed before move-in: the first invoice, any activation charges and any retainer or deposit. Third, list possible exit costs and the notice deadline.

A refundable deposit is cash you must fund, but it is not automatically a permanent expense. Keep it in the move-in cash column and record the conditions for its return. Regus's published terms say outstanding fees and other costs can be deducted from the retainer balance. Do not subtract a deposit from your budget until the conditions for repayment are clear.

The quote worksheet

Copy these fields into one row per offer: branch and exact room; occupants included; fee per office or person; currency; contract term; monthly invoice; tax; mandatory recurring extras; activation charge; retainer/deposit; expected room/printing usage; notice deadline; possible restoration or exit charges; written source and quote expiry date.

Mark each extra as included, optional, required or unknown. Do not enter zero when the provider has not answered. A quote with three unknown fees is not yet cheaper than a complete quote.

Included does not always mean unlimited

A furnished office can include internet and cleaning while giving only a limited meeting-room allowance. WeWork's private-office information describes included room/desk credits and optional credit bundles. Ask how many credits your actual office gets, where they work and what your expected bookings would consume.

Regus's pricing page promotes an all-inclusive monthly bill, while its published terms separately describe activation fees, taxes, pay-as-you-use services and office restoration charges. That is a reason to read the quote and terms together, not to assume either that every extra applies or that none can apply. Request the local fee schedule for your proposed agreement.

A worked example, not a live offer

Hypothetical only: Office A has a monthly fee of 1,200 currency units and requires 150 of recurring extras. Office B charges 1,320 with those same services included. Before tax and optional use, A costs 1,350 each month and B costs 1,320. In this invented example, the larger headline quote is 30 units cheaper on a like-for-like monthly basis.

Now suppose A also needs a refundable 2,400 deposit. That changes move-in cash, not the recurring 1,350 total. Keep the deposit separate and compare each provider's actual tax, refund and exit terms. None of these figures is a venue price or a city average.

Ask for a complete written answer

Send the provider your expected headcount, attendance pattern and meeting-room use. Ask for an itemized quote, a list of included services, the applicable agreement/house rules and the exact last date to give notice. Keep the version you accepted.

Browse offices in the directory to make a shortlist, then confirm the branch's current offer directly. A directory entry is not a reservation or a guarantee that a particular room is available.
